Vendor Rules and Procedures

The Grass Valley Downtown Association is committed to a quality event with an interesting assortment of vendors. Please read and understand these policies and procedures. If accepted as a vendor, you will be expected to comply with all of them. Failure to comply with these policies and procedures will result in your not being allowed to return as a vendor, and/or your participation will be terminated on the spot.


Vendor Participation in the GVDA’s downtown events:
• Craft Vendors: All items handmade by the vendor, maker items, uniquely handcrafted
• Non-Craft Vendors: All items mass-produced and/or imported
• Food Vendors: Cuisine or foodstuff vendors must apply 21 days prior to the event or a County fine will be
added to your amount due
* Before registering, all Food Vendors must have a Temporary Food Facilities permit from the Nevada
County Environmental Health Department. To apply download and return the Nevada County Food Vendor Application and Risk Assessment
* BID Merchants

Application Process and Payment:
• Completion of the vendor application does not guarantee a space at the event. After completing the application, vendors will be notified as soon as possible if they have been accepted.
• Event sponsors will have top priority in placement in all spaces, including food booths
• The GVDA reserves the right to limit or exclude vendors selling duplicate or similar items or services

Booth Info
• Canopies: Pop-up tents/secured canopies in case of wind are required for all vendors and exhibitors.

All Canopies, EZ-Ups, and Devices used to cover any vendor space shall have SFM Certification for Fire Resistiveness and
conform to the requirements of the 2016 Edition of the California Fire Code Section 3104, Sub-sections 3104.1, 3104.3
& 3104.4.

Your tent must be compliant OR have the State of California State Fire Marshal seal must have a label that indicates the unit is inherently fire resistive. Tents MUST have a tag stating CPAI-84
• Signage: Professional quality signs ONLY may be posted; no hand-written signs permitted.
• Electricity: Must be requested and in advance on the vendor application. NO EXCEPTIONS.

PRODUCT: Vendors may only sell what the GVDA has approved in advance during the registration process (make sure to include a complete list during registration).
• NO ALCOHOL: The GVDA has the Exclusive Rights to sell and serve alcohol within the Thursday Night Market event perimeter
• Offensive materials (i.e.: ethnically or racially offensive) may not be sold or displayed at any GVDA event
• Failure to comply with this policy will result in termination from the Festival
• BOOTH SPACE: All vendors are provided a 10×10 space
• NO RACKS, TABLES, OR ANY ITEMS are permitted OUTSIDE your 10×10 booth space. If you need more room for your display and storage, you must purchase a second booth. Staff will ensure all vendors are within their space
• MUSIC: No music or audio presentation are allowed

Cleaning & Damage Deposit: All vendors are required to submit a $50 refundable cleaning and damage deposit with their registration.
• No dumping of debris or packaging in event trash containers
• The area you occupy must be left clean of any and all debris

This deposit will be returned after the event if your space is left clean and undamaged. Vendors must check out with event staff in order to qualify for a returned deposit.

Cancellation Policy
A vendor may request a refund (less a $25.00 processing fee) up to three weeks prior to the event.

NO REFUNDS after that date.

*** Please note: It is a requirement that all participants in the 2026 Cornish Christmas in Grass Valley, California sign and return the attached waiver.

In consideration for receiving permission to participate in the 2026 Cornish Christmas in Grass Valley, the Vendor\hereby releases, waives, discharges and covenants not to sue the Grass Valley Downtown Association (GVDA), City of Grass Valley, and their respective agents, volunteers, or officers from any and all liability, claims, demands, actions, and causes of action whatsoever arising of or related to any loss, damage, or injury, including death, that may be sustained by the Vendor, or Vendor’s agents, volunteers or officers, or any of the property belonging to any of them whether caused by the negligence of the Vendor or otherwise, while participating in the event, or while in, on or upon the premises where the event is being conducted.

I am fully aware of the risks involved and hazards connected with the 2026 Cornish Christmas event and I hereby elect to voluntarily participate in the event with full knowledge that said doings may be hazardous to me and my property. I voluntarily assume full responsibility for any risks of loss, property damage or personal injury, including death, that may be sustained by me or any loss or damage to property owned by me, as a result of being engaged in the event, whether caused by the negligence of Vendor/Releaser or otherwise.

I further hereby agree to indemnify and hold harmless the Grass Valley Downtown Association and the City of Grass valley, their respective agents, volunteers and officers from any loss, liability, damage or costs, including court costs and attorney fees, that they may incur due to my participation in the event, whether caused by negligence of Vendor/Releaser or otherwise.

I understand that the Grass Valley Downtown Association and The City of Grass Valley do not provide any insurance coverage for vendor participants for any circumstances arising from their participation in this event or any activity associated with or facilitating that participation. As such, I am aware that I should review my own insurance coverage.

**Rain or shine event. NO REFUNDS.**

By attending the event, you grant us unrestricted, royalty-free license to your image, persona, and likeness, in any visual recordings taken or to be taken of you by or on behalf of our organization during the event. This license includes the right to reproduce, store, modify, create derivative works of, and otherwise use the content in whole or part, in any manner for marketing and promotional activities.
