Held on Mill Street in Downtown Grass Valley

Artist Participation and Submission Guidelines

Date of the event: Thursday, September 21, 2023, from 5:00 PM – 9:00 PM

  • There is no fee to participate!
  • You may submit up to 5 paintings.
  • All paintings must be painted plein air. No digital art. No prints or giclée
  • All work must be framed with stability and wired with no sawtooth hangers, tape, staples or screws. No cheesy frames! 
  • You will be responsible for also bringing your floor and/or table easels for display.
  • Tables with tablecloths will be provided


Wednesday, September 13th: 9am-5pm

  • Artists Check in at GVDA Office
  • Stamp Canvas with Logo/Date
  • Map of the BID District for Artists
  • 20 Postcards to hand to community promoting the Locals Event on the 21st & Meet the Artist Reception

Wednesday, September 13 through – Wednesday, September 20: All Day/Evening

  • Artists on the Streets Painting

Wednesday, September 20:

  • 12:00 PM – 3:00 PM:  Artists drop off Art at GVDA Office (128 East Main Street, Grass Valley)
  • 4:00 PM – 5:30 PM: Judging (private)
  • Artists may pick up their art on the day of the event between 10:00 AM and 4:00 PM (responsible for bringing to the Thursday Event)

MAIN EVENT DAY: Thursday, September 21:

  • 1:30 PM – 4:30 PM: Artist Check-In (On Mill to be given their Site # for display).
  • Reminder: You will be responsible for also bringing your floor and/or table easels for display.
  • Tables with tablecloths will be provided
  • Quick Draw begins at 4:00 PM and ends at 7:00 PM.
  • 5:00 PM 9:00 PM Event Starts | Ends
  • 8:00 PM Winners Announced at the Main Stage


All Canopies, EZ-Ups, and Devices used to cover any vendor space shall have SFM Certification for Fire Resistiveness and conform to the requirements of the 2016 Edition of the California Fire Code Section 3104, Sub-sections 3104.1, 3104.3 & 3104.4.

Your pop-up tent must be compliant OR have the State of California State Fire Marshal seal must have a label that indicates the unit is inherently fire-resistive. Tents MUST have a tag stating CPAI-84.

Food Vendors: will need to provide a minimum of one (1) fire extinguisher with a minimum size and rating of five (5) lb. 2-A:10-B:C for each vendor location where cooking or use of open flame occurs, including but not limited to, propane/gas lanterns, torches, generators, portable space heaters, etc. Food Vendors must provide proof of liability insurance naming the Grass Valley Downtown Association as additional insured.

All vendors are required to sign Liability Waiver.

Once accepted vendors will receive a Fire Marshal Conditions of Approval form to sign and will pay booth fee(s).

$50 cleaning deposit will be returned after the event if all spaces are left clean and no incidents of leaving trash and products.

Write a separate check for the cleaning deposit to Grass Valley Downtown Association.

Vendors must take trash away from each event. Pack it in, pack it out.

Application Process

We will review all applications and respond back to the applicant with further questions or verification if needed.

Artists will be notified via email.

Additional information and instructions will be sent to you upon acceptance of your application.
